Bookings

Plan arrivals, receive and release vehicles, and follow each booking through the workshop.

A Booking records the commitment for one vehicle to arrive during an agreed window. The arrival window is separate from the time reserved for workshop work and the promised ready time.

Create a booking

  1. Open Bookings from the sidebar.
  2. Select Add booking.
  3. Choose the Customer or Fleet paying for the work and select their vehicle.
  4. Enter the arrival window and the booking details.
  5. Select Create Booking.

A new Booking starts as a request. Open it and select Confirm booking once the vehicle and arrival window are ready.

Use the right view

Bookings offers List, Kanban, Calendar, Bay Board, Table and Timeline views. Use Filters to narrow the visible records. Kanban also offers Show closed.

Kanban supports the main operational handoffs: Pending to Confirmed, Confirmed to Arrived, and Arrived to In Progress. Other lifecycle changes are made from the Booking rather than by freely dragging between columns.

Move a vehicle through its visit

Open a Booking to use the actions available for its current state:

  1. Select Confirm booking before its arrival window begins.
  2. Select Check in vehicle when custody passes to the Workshop.
  3. Carry out its Work Orders and keep the promised ready time current.
  4. Select Mark ready for collection after all required Work Orders are complete and no timer is running.
  5. Select Release vehicle and record the release disposition and collector details.
  6. Select Close booking after release when no Work Order remains open.

Receiving the vehicle records the actual custody handoff. Starting a Work Order is a separate action.

Handle a changed plan

  • Reschedule a confirmed Booking before its arrival window starts.
  • Cancel before the vehicle is received and record the reason.
  • Mark a confirmed Booking as a no-show only after its no-show deadline.
  • Rebook a cancelled or no-show Booking to create a linked replacement.
  • Create a continuation after release when the vehicle must return for related work.

The Booking detail page brings together its Work Orders, notes, Invoices, Payments, booking information and activity. Use Prepare Work Orders to create its workshop work. Internal notes can include images or PDFs.
