Work Orders
Prepare, assign, time and complete the work carried out on a vehicle.
A Work Order is the operational record for a defined piece of workshop work. A Booking can contain more than one Work Order, while time, parts and inspection findings stay attached to the Work Order that owns them.
Prepare the work
Open Work Orders to see work across the Workshop, or open a Booking to work with its related orders.
Before work begins:
- Open its Booking and select Prepare Work Orders.
- Add a Product or Custom item.
- Select Assign a mechanic.
- Check parts availability and resolve any stock shortfall.
- Use Schedule execution to choose an active bay and work window before clocking in.
Templates under Settings → Work Order Templates can provide repeatable work and line items.
Track progress and time
Open a Work Order and select Clock in when work starts. Select Clock out before pausing, completing, assigning or rescheduling the Work Order. Use Add time when time was not captured live.
Use the current status actions to move the work forward:
- Pause stops active work without completing it.
- Block for parts records that the Work Order is waiting on stock.
- Resume returns paused or blocked work to progress.
- Complete finishes the Work Order when its requirements are satisfied.
The available actions depend on the Work Order state, the Booking and whether another timer or required task is still open.
Parts and inspections
Adding a stocked product reserves available stock for the Work Order. A shortfall remains visible until stock is received. Completing the Work Order consumes ready reservations; cancellation or an unrealised visit releases them.
If a digital vehicle inspection is required, select Start inspection and record each finding. Findings save automatically; Complete inspection waits while a finding is saving and is unavailable while one remains unsaved. An advisor can approve or reject the completed inspection, and an approved inspection can then be sent to the customer.
Finish and bill
Stop any running timer and complete all required work before marking the vehicle ready for collection. A completed Work Order can be used to prepare an Invoice. The Invoice copies the work into a draft that can be reviewed before it is sent.
Use internal notes for workshop context and customer updates. Notes remain internal unless a separate customer-facing document or message is sent.
