Inventory and suppliers

Manage products, stock, suppliers and purchase orders used by workshop work.

Products provide the parts, labour and services used on Work Orders, Quotes and Invoices. Stock is managed from each stockable Product, while Suppliers and Supplier Orders cover purchasing.

Create products and labour

Open Products → Parts, select Add Product, and complete the sheet. A Product can represent a part, consumable, accessory, tool, service or another sale item. Record its unit price, cost and tax treatment where known.

Use Products → Labour and Add Labour for labour products. Labour is priced per hour or as a fixed service and does not hold stock.

Deactivating a Product removes it from new line-item choices while keeping existing documents intact.

Track stock on a product

Open a stockable Product and use its Stock section:

  1. Select Set Initial Stock and enter the opening quantity and reason.
  2. Use Receive for stock received outside a Supplier Order.
  3. Use Adjust to set a counted quantity and record the reason.
  4. Use Edit Settings to change the reorder point, maximum level and location.

Available stock is the on-hand quantity minus reservations. Studio displays In Stock, Low Stock and Out of Stock. Every quantity change remains in the Product's movement history.

Adding a stocked item to a Work Order reserves it. Receiving stock can satisfy waiting reservations, and completing the work consumes ready stock.

Manage suppliers

Open Suppliers to create a supplier and record its contacts, account details and notes. A Product can be linked to more than one Supplier, with a supplier SKU, cost, pack size and lead time for each link.

Use Add Supplier from a Product or Add Product from a Supplier to maintain these links.

Create and receive a purchase order

  1. Open Suppliers, select a Supplier, open Supplier Orders, and select New Order. From the full Supplier Orders list, the action is New order.
  2. Choose the Supplier, add an optional internal note, and select Create draft.
  3. Use Add Item for catalogue Products or free-text lines, then select Save order changes.
  4. Select Review & send, check the recipient and content, then select Send purchase order.
  5. Select Mark as Shipped when tracking information is available.
  6. Select Receive Order and record accepted and rejected quantities for each delivered line.

Partial receipts leave outstanding quantities available for a later delivery. Accepted catalogue items update supplier cost information and apply stock where the Product is tracked.

Studio does not currently include a stocktake screen.
